Payment Posting & Reconciliation

A payment posted to the wrong place stays hidden until a patient receives the wrong statement.

Collecting money is one job. Recording it correctly is another, and the second job decides whether your books can be trusted. When a payment lands on the wrong claim or an adjustment goes in the wrong column, the mistake travels into patient statements, aging reports, and production numbers.

Floss & Finance posts every payment with the detail attached, then checks the result against what reached your bank account.

What we post and reconcile

  • Insurance payment posting. Each payment goes to the correct patient, claim and procedure line, using the payer's own remittance detail.
  • EOB and ERA review. We read every explanation of benefits (EOB) and electronic remittance advice (ERA) line by line. Underpayments, downgraded procedures and denied lines get flagged before the claim closes.
  • Patient payment posting. Payments collected at the front desk or online land on the right patient account.
  • Adjustment posting. When an in-network payer allows less than your office fee, we post the difference as a contractual adjustment. The patient's share then reflects only what the contract permits.
  • Secondary insurance processing. Once the primary plan pays, we send the claim to the secondary plan with the primary payment detail attached, then post the second payment.
  • Unapplied payment review. We look for payments that arrived without a matching claim, find where each belongs and post it.
  • Payment reconciliation. We compare what your bank received with what has been posted until the two totals agree.
  • Outstanding balance identification. After posting, we flag every balance still open and mark whether the patient or a payer owes it.

What you see when the ledger matches the bank

A ledger that agrees with the bank gives you numbers you can act on. You can see which payers pay slowly, which balances belong to patients and which claims still need attention. Your team works from the same figures we use.

Posting is bookkeeping with consequences. Every report you read about your practice depends on getting it right.
